Business Membership with Excentum is free for Businesses who use and rely on Tenancy Reference Data validation as part of any application processes for Tenancy, Employment, Credit services, other Financial Services or other Business Services.

Tenancy Reference Data Matching services from Excentum are Free to registered Business Members only – with a maximum of 100 free searches allowed per month.

– Business Membership

Excentum processes Tenancy Reference Data as supplied by Landlords, Letting Agents, Letting Agencies, Property Management Companies and other authorised agents acting on behalf of Landlords who are Business Members of Excentum.

Applications for Business Membership will be accepted from:

  • Landlords of Residential Properties (not commercial properties);
  • Letting Agents / Letting Agencies / Property Management Companies;
  • Recruitment Agencies / Companies;
  • Credit and Financial Institutions (and their agents);
  • Insurance Companies / Brokers (and their agents);
  • Mortgage Brokers (and their agents);
  • Debt Collection Agencies (and their agents);
  • other Businesses providing services requiring Tenancy or residence verification (subject to individual review).

The Tenancy Reference Data we hold is data provided by Landlords, Letting Agents, Letting Agencies, Property Management Companies and other authorised agents acting on behalf of Landlords (Business Members), which relates to tenancy periods of their residential properties dating back up to 6 years.

The Tenancy Reference Data we hold contains both factual information about particular aspects of a Tenancy period and also stated opinions of the Landlords, Letting Agents, Letting Agencies, Property Management Companies and other authorised agents acting on behalf of Landlords (Business Members), relating to the tenancy periods listed in the Tenancy Reference Data.

– Requesting Tenancy Reference Data

Business Members can request the use of Tenancy Reference Data Matching services from Excentum based on the Tenancy Reference Data we hold. Following a request from a Business Member we will seek to match the data the Business Member has supplied against any Tenancy Reference Data held by Excentum. Where a data match occurs, we provide this data to the member on a ‘per record ‘ basis – with maximum of 100 free searches per month.

The Tenancy Reference data we hold may be used by Business Members in support of / as part of any decision making process by the Business Member as it may apply to applications they have received from individuals relating to:

  • Rental / Leasing of residential property;
  • Mortgage / Financing the purchase of residential property;
  • Credit / Personal Loan Applications;
  • Pre-Employment Screening processes;
  • other areas where residence verification / information is required.

This Tenancy Reference Data may be used, in addition to other information the Business Member can access, in support of the Business Member processing data to:

  • establish the validity of the details of the applicant,
  • prevent fraudulent applications, and
  • enable any confirmation or verification of identity, residence or credit history of the applicant as may be required pursuant to the application received.

Where a Tenancy Reference Data match occurs, and where the original data supplied to a Business Member by an applicant does not appear accurate or complete, or if the Tenancy Reference Data received from Excentum raises other issues of concern, the Business Member can seek to validate further information from the person making the application to the Business Member.

Some of this data may also constitute opinion as supplied by the Business Member, and such opinion, where included in Tenancy Reference Data supplied by Excentum may not be inaccurate if it faithfully represents the Business Members opinion about a tenancy period.

The Tenancy Reference Data supplied by Excentum can be used, by Business Members, in conjunction with other information provided by applicants and data obtained from other data sources, to make fully informed decisions on the effective eligibility of applicants who have applied for Tenancy, Employment, Credit or Financial Services.

Any issues arising from a review of available tenancy data, or any inability to accurately validate or confirm residence / tenancy information provided by an applicant, could potentially impact on the processing of an application and could constitute part of the grounds for an application being held for further review or, in some instances, being declined.

This data is processed in accordance with the Conditions for Processing – ‘Legitimate Interests’ as contained in Article 7 of the Data Protection Directive (95/46/EC). See our Terms of Use and Privacy Policy pages for more information.

– Submitting Tenancy Reference Data

Excentum will only accept the submission of Tenancy Reference Data from Business Members who are;

  • Landlords of Residential Properties (not commercial properties);
  • Letting Agents / Letting Agencies / Property Management Companies;

Excentum will not accept the submission of Tenancy Reference Data from other types of Business Members.

Excentum will not accept, store, search or provide Tenancy Reference Data provided by Landlords, Letting Agents, Letting Agencies, Property Management Companies and other authorised agents acting on behalf of Landlords who are not Business Members of Excentum.

– Business Membership Requirements

All applicants for Business Membership with Excentum must provide proof of either their ‘Landlord’ status or their officially registered ‘Business’ status by means of confirmation of their registration (registration numbers) with one of the following;

  • Companies House (UK);
  • Companies Registration Office (Eire);
  • as a Data Controller or Data Processor with the ICO – Information Commissioners Office (UK);
  • as a Data Controller or Data Processor with theData Protection Commissioner (Eire),
  • registered with a Tenancy Deposit Protection (TDP) scheme (UK);
  • registered with the RTB with a Property Registered Tenancy (RT) Number (Eire);
  • registered with the Property Services Regulatory Authority (PRSA) (Eire)
– Companies / Businesses

In addition to the above requirements, Companies / Businesses seeking Business Membership will also be required to provide;

  • E-mail: an official registered company / business e-mail address will be required i.e. contact@mycompany.co.uk or contact@mycompany.ie. Free e-mail address services such as google, yahoo, hotmail or outlook will not be accepted;
  • Telephone: Primary contact telephone numbers must be landline telephone numbers. Mobile phone numbers will not be accepted as primary contact telephone numbers;
  • Business Address: Business applicants must provide a verifiable contact business address.
– Landlords

In addition to the above requirements, Landlords who apply for membership will also be requested to provide documentary proof of identity and residence in support of their application.

Scanned images, or photos, of suitable documents, will be accepted as proof of Identity and Residence, but we reserve the right to request original documentation.

Individual persons who are landlords must attach one of the following, to verify their identity. You will be able to upload any scanned images/photos on the Membership Application form.

1: Proof of Identity – Documents Accepted (including scanned images/photos)

  • Current UK/ Irish (Eire) or EEA Passport, or
  • UK photocard driving licence (full or provisional), or
  • Irish (Eire) photocard driving licence (full or provisional), or
  • Firearms licence/shotgun certificate UK or Eire, or
  • National Identity Card (non-UK nationals), or
  • Identity Card issued by the Electoral office for Northern Ireland, or
  • Current non-UK/Eire/EEA passport with a valid endorsement evidencing leave to reside in the UK.

2: Proof of Residence – Documents Accepted (including scanned images/photos)

Items marked with an * must be less than 3 months old, and must confirm your current address:

  • Full UK paper driving licence (pre-photocard version), or
  • UK State Benefits / Irish (Eire) Social Welfare Entitlement document *, or
  • UK or Irish (Eire) State Pension Entitlement document *
  • HMRC Tax Credit document / Revenue (Eire) Tax document *, or
  • Local Authority Benefit document *, or
  • Disabled Drivers Pass, or
  • Financial statement issued by bank, building society or credit card company *, or
  • Judiciary document such as Notice of Hearing, Summons or Court Order *, or
  • Utility bill for the supply of gas, electric, water or telephone landline *, or
  • Most recent mortgage statement, or
  • Most recent Council Tax bill/demand or statement, or
  • Current council rent card, or
  • Current council tenancy agreement, or
  • Building Society Passbook which shows a transaction in the last 3 months and your address.

Applications for membership will not be approved until registration information has been confirmed with the registering bodies, where possible, or where appropriate documentary proof of identity and residence has been received and is deemed satisfactory and sufficient.

All of our Business Members are required to agree and abide by our Data Protection policy, Privacy policy, Terms of Use and Legal Disclaimer. These documents outline services offered by Excentum, and provide at an operational level information on how we expect our members to handle Excentum data and interact with others.

We periodically conduct reviews with Business Members, both for Data Protection compliance reasons and to recommend best practice where possible.

All Business Members are required to be the lawful holders of Tenancy Reference Data supplied to Excentum – please see our Terms of Use and Privacy Policy.

We currently restrict our Business Membership to Landlords and businesses / companies registered and operational in the following jurisdictions:

  • England
  • Wales
  • Scotland
  • Northern Ireland
  • Republic of Ireland (Eire)
